Ultrasound Centre – Terms and Conditions for Private Ultrasound Scanning

These Terms and Conditions (“Terms”) outline how Ultrasound Centre provides private ultrasound scans and related services. By booking or attending an appointment, you agree to these Terms. Please read them carefully alongside our Privacy Policy.
1. Scope of Services
We provide a range of private ultrasound scans including pregnancy scans (2D, 3D/4D, early pregnancy, gender, growth, and presentation) and general health scans (abdominal, pelvic, thyroid, urinary tract, etc.). All scans are performed by qualified, experienced sonographers or doctors using modern ultrasound equipment. Our diagnostic imaging services are delivered in line with Care Quality Commission (CQC) regulations.
2. Safety of Ultrasound Scanning
Diagnostic ultrasound is a safe, non-invasive imaging technique used for decades. We follow professional safety guidelines and operate scans using the lowest acoustic power and shortest exposure times reasonably achievable. If you have any safety concerns, please ask your sonographer before your scan.
3. Professional Standards and Insurance
All ultrasound scans are carried out by appropriately trained and qualified professionals who hold valid professional registration (e.g., HCPC, NMC, GMC, RCOG, ISUOG, or BMUS) and professional indemnity insurance in line with CQC requirements.
4. Pregnancy Scans – Purpose and Limitations
Our pregnancy scans are provided for reassurance and bonding and are not a substitute for NHS maternity screening unless explicitly stated. They provide information about your pregnancy at the time of the scan only. If we identify findings requiring further assessment, we will explain this and advise you to contact your midwife, GP, or maternity unit for follow-up. With your consent, we can share a summary report with your healthcare provider.
5. General Health Scans
Our general ultrasound scans are for reassurance, monitoring, or following a private or GP referral. We provide a written report and, where applicable, images. You are responsible for seeking further medical advice or treatment as appropriate. This service is not intended for emergency use.
6. Eligibility, Conduct and Right to Refuse
You must be 18 years old or over to book an appointment for yourself. Children may attend as guests at our discretion. We reserve the right to refuse or stop a scan if it is unsafe, inappropriate, or if abusive or disruptive behaviour occurs. All clients and guests are expected to treat staff respectfully and follow safety guidance.
7. Booking, Cancellation and Refunds
Appointments must be booked in advance. Full payment is usually required at booking. You may cancel or reschedule with at least 24 hours’ notice for a full refund or credit. Late cancellations or missed appointments may be charged up to 100% of the fee. Refunds are not issued for factors outside our control such as fetal position, gestational age discrepancy, or limited acoustic windows. If your booking was made online or by phone, you may have a statutory cooling-off period under the Consumer Contracts Regulations 2013; however, once the scan has been performed, you acknowledge that your right to cancel is lost.
8. Image Quality, Rescans and Refunds
Image quality depends on factors including fetal position, gestational age, maternal BMI, and abdominal scarring. We cannot guarantee specific images or confirmation of gender. At our discretion, a complimentary rescan may be offered if the primary objective (e.g., gender identification or visualisation) cannot be achieved on the day, subject to appointment availability. Refunds may be considered only if the primary objective of the scan could not be met due to a factor within our control.
9. Late Arrival
Please arrive on time. Late arrival may shorten your appointment to avoid delays for other clients. If you are more than 10 minutes late, we may need to rebook your appointment and an additional fee may apply.
10. Results, Reports and Communication
Where applicable, a summary or formal report will be provided. Results reflect findings at the time of the scan only and are not a guarantee against future changes. We will communicate any significant incidental findings and signpost you to appropriate NHS or private care. We do not provide emergency triage—if you have urgent symptoms, call 111 or 999, or attend A&E.
11. Patient Consent
By attending your scan, you confirm that you understand the purpose and limitations of the scan and consent to the procedure. You agree to provide accurate and complete information relevant to your scan.
12. Confidentiality and Data Protection
We handle all personal information in accordance with the UK GDPR and Data Protection Act 2018. We will not share your data with third parties without your consent unless required by law or for your direct care. We retain scan records for up to 8 years in line with clinical governance standards. You may request deletion of your data at any time unless required for legal or regulatory reasons.
13. Photography and Recordings
Photography or recording within the clinic is permitted only with staff consent and must not interfere with care or patient privacy. We may occasionally use anonymised images for training or promotional purposes, only with your written permission.
14. Complaints
If you are dissatisfied with any aspect of your care, please contact us via our website or email. We will investigate and respond in line with our complaints policy. If you remain unhappy, you may also contact the Care Quality Commission (CQC).
15. Limitation of Liability
We provide our services with reasonable skill and care. Ultrasound has inherent limitations, and not all conditions can be detected. To the fullest extent permitted by law, we are not liable for indirect or consequential loss. Nothing in these Terms limits our liability for death or personal injury caused by negligence.
16. Pricing and Payment
Prices are shown on our website and may change periodically. The price confirmed at booking applies to your appointment. We accept major debit and credit cards. Reports or images may be withheld until full payment is received.
17. Changes to Terms
We may update these Terms periodically. The version in force at the time of booking applies to your appointment. Any major updates will be posted on our website.
18. Governing Law
These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.
